Digital archives, online libraries, and cloud storage have transformed the way we save, access, and exchange information. However, as we rush to embrace this digital future, we must pause and consider a significant disadvantage: the risk of data loss caused by software malfunctions, hardware failures, cyberattacks, and other unforeseen technological mishaps. In this context, digitalization may not be as flawless as we believe, and the importance of maintaining physical paper libraries and archives has never been greater.
While digitalization provides easy access to information, it also poses new risks. Data stored on hard drives, servers, or the cloud can be lost for a variety of reasons, like:
1. Software Malfunctions
Even the most sophisticated software systems are prone to errors. A corrupted file, an incompatible software update, or a bug in a database system can make documents or entire archives inaccessible. In some cases, software bugs can result in the permanent loss of critical data.
2. Hardware failures
Hardware malfunctions are a constant threat, ranging from hard drive crashes to server outages. A faulty server or disk failure can result in irreversible data loss, especially if backups are not properly maintained or the systems are poorly designed.
3. Cyber Attacks and Data Breaches
Ransomware, hacking, and data theft are becoming more prevalent threats to digital records. Cybercriminals can erase, alter, or steal data, making it impossible to recover or trust its integrity.
Once compromised, digital records can be lost forever or, worse, misused!
4. Outdated Formats and Media
Unlike physical documents, digital records are at risk of becoming outdated. As technology evolves, older file formats may become incompatible with newer systems. In the worst-case scenario, documents stored in extinct formats may become unreadable, resulting in a gap in the historical records.
5. Dependence on Power and Connectivity
Digital information relies on the constant supply of power and internet connectivity. A simple power outage or network failure can prevent access to massive amounts of data, and long-term outages may jeopardize the integrity of digital archives.
Why Paper Libraries and Archives Are Important?
Despite the rise of digital media, traditional libraries and archives continue to play a crucial part in preserving information for future generations. Paper records provide a level of reliability and security that digital systems cannot match. There are several reasons why physical archives should still be kept.
1. Long-Lasting, Practical Preservation
Paper records have been shown to endure for centuries when stored properly. Even though they are hundreds or even thousands of years old, ancient manuscripts like the Dead Sea Scrolls or early printed books are still available. Unlike digital formats, physical records are not vulnerable to technological threats.
2. Data Backup
Relying solely on digital archives leads to a single point of failure. If data is lost due to a malfunction, there may be no way to recover it because there is no backup in place. Keeping physical copies as a backup ensures that, even if digital records are lost, the information can be retrieved in its original form.
A single point of failure represents a weak link in a chain. It is a component of a system or process that, when broken or fails, causes the entire system to stop working. For example, if a company relies on a single computer to process all of its orders and that computer crashes, all orders may be lost or delayed because there is no backup. It's a risk because if one part fails, the entire system may fail.
3. Avoiding Data Obsolescence
While digital files may become unreadable over time as technology advances, paper documents are not vulnerable to this type of threat. Printed materials, as long as they are physically intact, can be read and understood without the use of any technology.
4. Long-Term Access for Low-Tech Environments and During Power Outages
Not every region or community has consistent access to internet or electricity. Paper-based records offer a universal, low-tech solution for preserving knowledge that does not require specialized hardware or software. Physical archives remain accessible during times of crisis, such as natural disasters or power outages, when digital systems may be unavailable.
5. Protecting Authenticity and Integrity
The truthfulness of digital records can be jeopardized, either accidentally or intentionally. Once altered, digital files can be difficult to authenticate. In contrast, paper records provide a level of verifiable authenticity. While they can be physically damaged or lost, their original form is more difficult to manipulate.
How People Could Help in Preserving Knowledge on Paper?
1. Promote the Use of Paper Backups
> When creating important documents, consider creating both digital and hard copies backups.
> Encourage businesses, government agencies, and institutions to maintain paper backups.
> Store under controlled conditions (light, humidity, and temperature) to avoid deterioration.Use archival-quality boxes, folders, and other supplies to keep paper safe from harm.
> To prevent deterioration, handle documents with care. For example, wear gloves or use a sturdy surface when turning pages.
2. Educate People About the Importance of Paper Preservation
> Raise awareness of the risks of relying solely on digital formats for long-term preservation.
> Inform people and organizations about the best ways to keep paper documents.
3. Support Community Libraries and Archives
> Support local historical societies, museums, and libraries that are dedicated to conserving paper collections by volunteering or making a donation.
> Demand the provision of funds and materials for preservation initiatives.
4. Support Archival Research and Restoration Fund or Participate in Research on Paper Conservation Techniques and Technologies
Encourage the restoration of damaged or degraded historical documents and manuscripts.
5. Advocate for Legal and Policy Protections
> Demand legislations and policies that safeguard paper archives and encourage preservation efforts.
> Support initiatives that promote the long-term preservation of cultural heritage in digital and paper formats.
6. Create Small Local Libraries to Preserve Knowledge
Communities can protect valuable knowledge, safeguard local heritage, and ensure that wisdom passed down to future generations by establishing local libraries and preserving old books.
> If your community lacks a library, consider establishing one in an empty building or space in your village or town.
> Collect donated books.
> Make sure that books from the deceased are not discarded but preserved. Unfortunately, relatives frequently discard that useful sources of knowledge.
> Use local libraries to preserve and share knowledge by hosting educational programs or book preservation workshops.
Bottom Line
In an increasingly digitalized world, it is critical that we do not lose sight of the value of paper records. While digitalization has its advantages, it is not a foolproof solution. The risks associated with software malfunctions, hardware failures, and cyberattacks highlight the vulnerability of digital records. To ensure the longevity and accessibility of our collective knowledge, we must preserve and protect physical libraries and archives. After all, even in the digital age, ink on paper may still be the most reliable method of preserving information.
